The Problem

Appraisal documents should not live across five inboxes.

Purchase contracts by email, lockbox codes by text message, engagement letters through a separate signing service and reminders from memory: that is how inspections get delayed and reports miss their due dates. FileButler gives your firm and your clients one professional place to exchange documents, sign agreements, communicate securely and keep a clean, documented record.

Replace the scattered chase with one documented workflow.

  • Before FileButler

Contracts and prior appraisals as email attachments, access details in text messages, third-party signing links and repeated follow-up calls.

  • With FileButler

A secure Appraisal File for every assignment, a starter document checklist, engagement letter templates, electronic signatures, portal messaging and reminders in one branded workspace.

  • Missing documents

Request sent for the purchase contract

  • Engagement letter

    Signed with Certificate of Completion

  • Client message

  • Portal email reply

Auto-filed to the correct Appraisal File

Built for real workflow

Not just storage. A complete client communication workspace.

Your firm manages document requests, engagement letters, signatures, messages, portal email, reminders and assignment status from one branded portal. Clients see exactly what is still needed. You keep oversight. Every step stays documented.

Automation

Effortless Workflows

Reminders for missing documents send themselves, client replies file themselves, and engagement letters fill in from the Appraisal File. You spend your time on inspections and valuations, not the follow-up.

Control

Every File, One Place

Documents, signatures, messages and notes for each assignment meet in a single Appraisal File, with permission-based access deciding exactly who sees what.

Core Features

Everything your firm needs to collect client documents under your own brand.

FileButler handles the client-facing work that usually gets scattered across email attachments, signing links, shared drives and follow-up phone calls.

Documents & client files

Secure file storage and sharing

Collect, store, review and share client documents in organized folders with 100 GB included per license, encrypted at rest and in transit.

Appraisal Files and assignment tracking

Keep every client and every assignment organized from the first upload through report delivery, with status tracking, document categories and internal notes.

Signatures & templates

E-Signatures with Certificate of Completion

Send agreements, engagement letters and consent forms for electronic signature. FileButler generates a Certificate of Completion documenting the signing sequence, timestamps and signer identity.

Document templates with merge fields

Save reusable engagement letters, order forms and property questionnaires as templates, with merge fields such as Subject Property Address, Appraisal Purpose and Appraisal Fee that fill in from the Appraisal File.

Communication & follow-up

Two-way portal email with auto-filing

Notifications go out from the portal. Client replies come back into the portal and file themselves to the right client folder automatically, so the paper trail stays complete without extra work.

Secure client and staff messaging

Every conversation stays tied to the right client folder. No lost threads, no searching a separate inbox to understand what was said.

Smart reminders

Request missing contracts and access details, follow up on unsigned engagement letters and nudge stalled assignments. Reminders send on the schedule you choose and log to the Appraisal File.

Control & branding

Permission-based staff access

Admins control what each staff member can see and do, from messaging and emailing to viewing client information and signing authority.

White-label branding

Upload your logo and company name, choose a branded portal URL, and the portal looks like it belongs to your business, not the software vendor's.

Calendar

Never miss a deadline

Every deadline lives on one calendar and stays tied to the client folder it belongs to. Alarms and email reminders tell the right person before the date arrives.

Calendar views and Deadlines This Week

See your deadlines on the calendar, and check the Deadlines This Week list to know exactly what is due now.

Alarms and email reminders

Set an alarm and an email reminder on a deadline, so the people responsible hear about it ahead of time.

Deadlines tied to a folder

Link a deadline to a client folder, and it stays connected to the files, messages and notes it relates to.

Assigned and prioritized

Assign each deadline to a team member and set its priority, so everyone knows what is theirs and what comes first.

Color-coded topics

Give each topic its own color, so different kinds of work are easy to tell apart on the calendar.

Repeating deadlines and private items

Set a deadline to repeat, and it comes back on schedule without being entered again. Mark an item private when it is not meant for the rest of the team.

Email

Client email that files itself

Your clients email one intake address, and FileButler files each message and its attachments into the correct client folder automatically. Junk filtering keeps spam out, so your team only sees real client mail.

Automatic filing

Each message and its attachments land in the matching client folder, with no copying, forwarding or downloading.

Unmatched mail goes to the Inbox

When a message cannot be matched to a client, it waits in the Inbox until your team assigns it to the correct folder.

Inbox, Junk and Blocked

Mail is sorted into Inbox, Junk and Blocked, so real client mail stays separate from everything else.

Block a sender

Block a sender once, and mail from that address stays out of your Inbox from then on.

Full details on every email

Open any email to see its full details, including the sender, the date, the message and its attachments.

Notifications

Your team is notified when new client mail arrives, so nothing sits unread.

The Appraisal pack

Ready for your next assignment on day one.

Turn on the Appraisal Services pack in Settings and your portal speaks your firm's language. The starter checklist, merge fields and wording below are yours to edit, rename or remove at any time.

Read the walkthrough overview

Welcome

Welcome to FileButler. In this walkthrough, you will see how your branded client portal helps your team collect documents, exchange messages, send electronic signatures, use document templates with editable merge fields, and keep every client file organized in one secure location under your own brand.

One portal, two perspectives

The FileButler platform supports both sides of the portal. Your admin team works from one view, while each client sees a separate, limited view built around their own files. Role-based access controls sit between the two. Staff members see the clients assigned to them, and permissions control messaging, status changes, notes, account access and staff visibility.

Every client gets their own branded front door

Each client reaches the portal through a branded URL that looks like it belongs to your company. The login screen displays your logo, email and password fields, and a secure two-factor authentication step before any private information is shown. There are no shared passwords and no generic entry points.

Documents, messages, signatures, all in one file

Inside each client folder, you and your client see the details that matter most: uploaded documents, message history, signed agreements, status updates and completed work. Documents include version tracking. E-signature envelopes attach directly to the file with their Certificate of Completion. Everything stays together, connected to the correct client, and searchable when you need it later.

Document templates with editable merge fields

FileButler lets your team save reusable document templates - engagement letters, questionnaires, consent forms, agreements, invoices, deliverable packets, whatever your business sends most - with editable merge fields that automatically fill from the client record. Change the client name, address, matter number or any other field once, and every place it appears updates. Send the completed template through the portal for review, e-signature or download.

Two-way portal email with auto-filing

Portal email is bidirectional. When a client responds to a message or notification email, the reply lands back inside the portal, filed to the correct client folder. Your team does not have to remember to copy an inbox thread into the file - the file collects it automatically. The paper trail stays complete without extra work.

E-signatures with Certificate of Completion

Send agreements, engagement letters, consent forms or any document for electronic signature directly from the portal. When the signer completes it, FileButler generates a Certificate of Completion documenting the signing sequence, timestamps and signer identity data. The signed document and its certificate are stored in the client folder alongside the rest of the file.

FileButler is built for businesses that need a professional, secure, white-labeled place for clients to upload documents, communicate with your team, sign agreements and receive completed work. FAQ

Questions appraisers ask before they start.

Is FileButler appraisal software?

No. FileButler does not produce appraisal reports, forms or value opinions. It is the secure, branded portal your clients use to send you documents, sign engagement letters and message your firm, and it works alongside the appraisal software you already use.

What is the Appraisal pack?

A one-click setup in Settings for appraisal services. It adds 10 merge fields (Subject Property Address, Appraiser, Appraisal Purpose, Property Type, Intended User, Order Number, Appraisal Fee, Appraiser License Number, Report Due Date and Final Value Opinion), a starter checklist of 10 common appraisal documents, the Effective Date as the key date, and wording such as Appraisal and Appraisal File. Appraisal Purpose offers Purchase, Refinance, Estate, Divorce, Tax Appeal, Litigation and Other.

Can I change the document checklist?

Yes. The pack copies a starter checklist into your firm's own settings. You can add, rename, reorder or remove items at any time, and your changes never affect any other firm.

Can clients upload property photos from their phone?

Yes. Clients can upload photos, contracts and other documents from a desktop, a phone or any browser. Your staff can also upload, review and organize documents in the same Appraisal File.

Can I deliver the finished report through the portal?

Yes. Upload the signed appraisal report and your invoice into the Appraisal File, where your client can view and download them instead of receiving them as email attachments.

Can I send engagement letters for electronic signature?

Yes. Send engagement letters and other documents for electronic signature directly from the portal. Each completed signature generates a Certificate of Completion documenting the signing sequence, timestamps and signer identity.

Can I send reminders for missing documents?

Yes. Reminders go out on the schedule you choose and are logged to the Appraisal File, so you have a record of every request.

Can the portal use my firm's name and logo?

Yes. FileButler includes white-label branding with your firm name, logo and a branded portal address.

How does pricing work?

One flat subscription of $39.95 per month, with a 14-day free trial on the monthly plan, or $439.45 per year. Every plan includes every feature, unlimited clients and 100 GB of secure storage per license. No contract.

What happens after I subscribe?

FileButler begins setting up your branded portal after checkout. You receive an email with your portal web address, login details and password setup instructions, and you can turn on the Appraisal pack from Settings.
