FileButler Privacy Policy Effective Date: June 16, 2024 Last Revised: September 23, 2026 This Privacy Policy explains how FileButler, owned and operated by Envisage Companies, LLC (together, "FileButler," "we," "us," or "our"), collects, uses, shares, and protects information in connection with FileButler, our client portal software at filebutler.io, the VISN© platform it runs on, our websites, and subscription checkout (together, the "Services"). Our two roles Account and billing information. For the information subscribers give us to buy and manage a subscription, FileButler decides how that information is used. Customer Content. For the files, messages, and other information that subscribers and their invited users store in FileButler ("Customer Content"), we act as a service provider on behalf of the subscribing organization. That organization controls its Customer Content and decides who can access it. If you use FileButler because an organization invited you, direct privacy requests about its content to that organization. We will assist the organization as required by our agreements and applicable law. Information we collect Information you give us. Name, business or organization name, email address, phone number, username, billing contact details, support requests, and communications with us. We never store your password in readable form, and no one at FileButler can see it. Customer Content. Files, documents, messages, forms, signatures, and related information uploaded to or created in FileButler. Depending on how a subscriber uses FileButler, Customer Content may include sensitive information, including protected health information. Payment information. Payments are processed by Stripe, Inc. Stripe collects your payment card and billing details directly. We receive limited information from Stripe, such as your name, email address, billing address, the type and last four digits of your card, and payment status. We do not store full card numbers. Stripe's handling of your information is governed by the Stripe Privacy Policy at stripe.com/privacy. Technical and security information. Internet Protocol address, device and browser type, sign-in activity, verification events, access logs, time stamps, and actions taken in FileButler. We use this information to operate, secure, and audit the Services. Cookies and browser storage. FileButler uses cookies and browser storage that are needed to sign you in, keep your session secure, remember trusted devices for two-factor authentication, and save your display preferences. Stripe may set its own cookies on checkout pages to prevent fraud. How we use information We use information to: • Create and manage accounts and subscriptions. • Provide, host, store, and deliver Customer Content as the subscriber directs. • Process payments, send receipts, and manage renewals and cancellations. • Send service messages, such as verification codes, security alerts, invitations, and policy updates. • Provide customer support. • Protect the Services, detect and prevent fraud and misuse, and investigate security incidents. • Comply with legal obligations and enforce our agreements. • Maintain and improve the Services. We do not use Customer Content for advertising, and we do not sell Customer Content. Artificial intelligence FileButler does not send Customer Content to any outside artificial intelligence or model provider. How we share information We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We share information only as needed to provide and protect the Services, including with: • Service providers that perform hosting, cloud storage, payment processing, email delivery, and security functions for us under confidentiality obligations. These include Backblaze, Inc. for file storage and Stripe, Inc. for payment processing. • The subscribing organization that controls a FileButler account, for information about its users and its Customer Content. • Professional advisers, such as attorneys, accountants, and insurers, under confidentiality obligations. • Legal authorities, when required by law, subpoena, court order, or other legal process, or when needed to protect the rights, property, or safety of FileButler, our customers, or others. • A successor business, in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy. Data security We use administrative, technical, and physical safeguards designed to protect information, including encrypted transmission, access controls, role-based permissions, two-factor authentication, audit logs, and separation of each subscriber's data. Files uploaded to FileButler are stored with Backblaze, Inc. cloud storage. FileButler maintains a signed Business Associate Agreement with Backblaze for protected health information stored there. No system is completely secure, so we cannot guarantee absolute security. Protected health information Where a subscriber stores protected health information in FileButler and a Business Associate Agreement is in effect between that subscriber and FileButler, we handle that information as the Business Associate Agreement and HIPAA require. Files uploaded to FileButler are stored with Backblaze, Inc., which has signed a Business Associate Agreement with Envisage Companies, LLC covering protected health information in that storage. Security incidents If we become aware of a security incident affecting personal information or protected health information we maintain, we will investigate, take reasonable steps to limit harm, and provide notice to affected subscribers, individuals, or regulators as required by applicable law, including HIPAA and the Florida Information Protection Act, and by our agreements. Data retention We keep account, billing, and security records for as long as needed to provide the Services and to meet legal, tax, accounting, and dispute resolution needs. Customer Content is retained and deleted as described in the FileButler Data Retention Policy and the subscriber's agreement with us. When information is no longer needed, we delete or deidentify it using reasonable measures. Your choices and rights You can review and update much of your account information in your FileButler settings. You may also ask us to access, correct, or delete personal information we hold about you. Depending on where you live, you may have additional rights under applicable law. We will verify your identity and authority before acting on a request, acknowledge your request within five business days, and respond within the time required by law. To make a request, email us at envisagecompaniesllc@gmail.com with "Privacy Request" in the subject line. You may opt out of marketing emails at any time. We will still send service messages needed to operate your account. Do Not Track signals Our websites do not currently respond to Do Not Track browser signals. Links to other websites Our websites may link to websites operated by others, such as Stripe. We are not responsible for the privacy practices of those websites, and we encourage you to review their privacy policies. Location of the Services We operate the Services from the United States, and they are intended for users in the United States. If you access the Services from another country, you understand that your information will be processed under United States law. Children The Services are intended for businesses and are not directed to anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it. Changes to this Privacy Policy We may update this Privacy Policy. We will post the updated version with a new effective date and, for material changes, notify account holders by email or portal notice.
