YOUR SOLUTION AWAITS

Stop running client work through email, attachments and shared drives.

FILE BUTLER™ gives your business one branded workspace: collect documents, exchange messages, send electronic signatures, use document templates with editable merge fields, and keep every client file organized under your own name.

Security and data protection

A secure, branded client portal.

Documents are stored securely in the cloud with SOC 2 Type 2 compliance through an independent third-party audit, so you have access anywhere, anytime.

  • Every document is stored across two separate United States data center regions, one on the East Coast and the second on the West Coast, for added resilience.

  • The database is backed up nightly, with encrypted backups stored in immutable storage designed to prevent alteration or deletion.

  • Backup restoration procedures are tested monthly to help ensure data can be recovered when needed.

Beginning to end

FileButler has you covered from beginning to end.

From the first estimate to the final thank you, every step with a client happens in one place, and most of it runs on its own.

Before they are a client

Pre-client quoting

Put a Request a Quote form on your website. Prepare the estimate from your own template, send it for signature, and turn the request into a client in one click.

When they join

Automatic onboarding

Your welcome note and the documents to sign or read go out on their own, on the schedule you choose, with reminders until everything comes back. No more setting up each new client by hand.

When the work is done

Offboarding

A closeout pack sends the final documents and your closing note, so you never forget that last signature or thank-you note. The folder moves to Delivered, and you and your client both get an email.

The Problem

Client files should not live across five inboxes.

Documents by email, signatures through a separate service, status updates by phone, and follow-ups from memory: that is how files go missing and projects stall. FileButler gives your team and your clients one professional place to exchange documents, sign agreements, communicate securely, and hold a clean, documented record.

Replace the scattered chase with one documented workflow.

  • Before FileButler

Email attachments, third-party signing links, shared drives, loose reminder notes and repeated follow-up calls.

  • With FileButler

Secure folders, document templates, electronic signatures, portal messaging, portal email auto-filing, reminders and status tracking in one branded workspace.

  • Missing documents

  • Engagement letter

  • Client message

  • Portal email reply

Built for real workflow

Not just storage. A complete client communication workspace.

Your team can manage documents, electronic signatures, templates, messages, portal email, reminders and client status from one branded portal. Clients get clear next steps. Admins keep oversight. Work stays documented.

Automation

Effortless Workflows

Reminders send themselves, client replies file themselves, and templates fill in from the client record. Your team spends its time on the work, not the follow-up.

Control

Every File, One Place

Documents, signatures, messages and notes meet in a single client folder, with permission-based access deciding exactly who sees what.

Core Features

Everything your team needs to work with clients under your own brand.

FileButler is built around the daily client work that usually gets scattered across email attachments, third-party signing links, shared drives and follow-up phone calls.

Documents & client files

Secure file storage and sharing

Collect, store, review and share client documents in organized folders with 100 GB included per paid license and additional storage at $4.95 per 100 GB or $39.95 per terabyte, encrypted at rest and in transit.

Client folders and project tracking

Keep every client and every project organized from intake through completion, with status tracking, document categories and internal notes.

Signatures & templates

Electronic Signatures with Certificate of Completion

Send agreements, engagement letters and consent forms for electronic signature. FileButler generates a Certificate of Completion documenting the signing sequence, timestamps and signer identity.

Document templates with merge fields

Save reusable engagement letters, questionnaires, contracts, invoices or any document your business sends often, with editable merge fields that auto-fill from the client record.

Communication & follow-up

Portal notifications and email filing

Notifications go out from the portal with a link back to it, and clients answer in the portal. Email your clients send to your connected intake mailbox, with their file number in the subject, is filed to the right client folder automatically, so the paper trail stays complete without extra work.

Secure client and staff messaging

Every conversation stays tied to the right client folder. No lost threads, no searching a separate inbox to understand what was said.

Smart reminders

Request missing items, follow up on unsigned documents, or nudge stalled projects. Reminders send on the schedule you choose and log to the client folder.

Control & branding

Permission-based staff access

Admins control what each staff member can see and do, from messaging and emailing to viewing client information and signing authority.

White-label branding

Upload your logo and company name, choose a branded portal URL, and the portal looks like it belongs to your business, not the software vendor's.

Calendar

Never miss a deadline

Every deadline lives on one calendar and stays tied to the client folder it belongs to. Alarms and email reminders tell the right person before the date arrives.

Calendar views and Deadlines This Week

See your deadlines on the calendar, and check the Deadlines This Week list to know exactly what is due now.

Alarms and email reminders

Set an alarm and an email reminder on a deadline, so the people responsible hear about it ahead of time.

Deadlines tied to a folder

Link a deadline to a client folder, and it stays connected to the files, messages and notes it relates to.

Assigned and prioritized

Assign each deadline to a team member and set its priority, so everyone knows what is theirs and what comes first.

Color-coded topics

Give each topic its own color, so different kinds of work are easy to tell apart on the calendar.

Repeating deadlines and private items

Set a deadline to repeat, and it comes back on schedule without being entered again. Mark an item private when it is not meant for the rest of the team.

Email

Client email that files itself

Connect your own intake mailbox, and FileButler copies each new message and its attachments into the right client folder. Junk filtering keeps spam out, so your team only sees real client mail.

Automatic filing

Each message and its attachments land in the matching client folder, with no copying, forwarding or downloading.

Unmatched mail goes to the Inbox

When a message cannot be matched to a client, it waits in the Inbox until your team assigns it to the correct folder.

Inbox, Junk and Blocked

Mail is sorted into Inbox, Junk and Blocked, so real client mail stays separate from everything else.

Block a sender

Block a sender once, and mail from that address stays out of your Inbox from then on.

Full details on every email

Open any email to see its full details, including the sender, the date, the message and its attachments.

Notifications

Your team is notified when new client mail arrives, so nothing sits unread.

How it works

Launch your client portal in three steps.

Your team gets the structure. Your clients get a simple place to respond. Everyone gets fewer loose ends.

  1. 1

    Brand your workspace

Add your company name, logo and branded subdomain so the portal looks and feels like your business from the first login.

  2. 2

    Set up folders and templates

Create client folders, save your reusable document templates with editable merge fields, and configure the reminder wording your team uses most.

  3. 3

    Invite clients and staff

Clients upload files, sign documents and respond to requests. Staff members work from the permissions approved by an admin.

Welcome to FileButler

Welcome to FileButler, the secure, branded client portal software from Envisage Companies. If your client work still runs through email, attachments and shared drives, you already know the cost. Files get buried, nobody is sure which version is current, and you spend your day chasing paperwork instead of doing the work. FileButler gives every client one secure place, under your brand, where everything is already organized.

What your clients experience

Your clients receive a simple invitation and sign in to a portal that carries your name and logo. They see only their own files, a clear list of what you need from them, and your messages, all in one place. They can upload from a phone in the parking lot or from a laptop at the kitchen table, with nothing to install. The result is clients who send what you asked for the first time, and far fewer follow-up calls.

Every client, one folder

Every client gets a folder that follows the work from the first conversation to the finished job. You see at a glance where each one stands, which documents are in, which are still missing, and what happened last. Notes for your team stay private to your team. And the checklist speaks your industry's language, so clients recognize exactly what you are asking for.

Stop chasing documents

Instead of asking for the same documents three times, you tell FileButler once. Clients see each item you need and whether it has been received. Every upload is time stamped and kept with its version history, so an updated form never overwrites the original. Documents, photos, video and audio all upload the same way, and large files upload in pieces with a progress bar, even on a slow connection.

Your letters and forms, filled in for you

The letters, agreements and forms you send every week become templates. Add a blank for the client's name, the file number or the date, and FileButler fills it in from the client's record. Preview the finished document, then send it to the client or send it for signature, and it stays with that client's file. What used to take fifteen minutes of copying and pasting takes about one.

Signatures without the chase

Getting a signature should not mean printing, scanning and waiting. Send any document for signature from the client's folder. The client gets an email, opens the document, signs by drawing or typing, and is done in under a minute, from any device. Every signed document comes with a Certificate of Completion that records who signed, when, and in what order, and both stay attached to the client's file.

Client email that files itself

Clients will always email you, and that is fine. Connect your intake mailbox, and when a message arrives with a file number, FileButler copies the message and its attachments into the right client folder for you, within minutes. Anything it cannot match waits in one inbox for a quick assignment. No more digging through a shared mailbox to find the attachment someone sent last Tuesday.

Never miss a deadline

Every deadline lives on one calendar and stays tied to the client it belongs to. The Deadlines This Week view shows your team what is coming, alarms and email reminders make sure nothing slips, and each deadline can be assigned to a person, given a priority, color coded by topic or set to repeat. Missing a date because it was written on a sticky note stops being a risk.

Conversations that stay with the file

Messages live inside the client's folder, so every question and every answer stays with the matter it is about, and anyone on your team can pick up the thread. When a client goes quiet on a document request, FileButler sends the reminder for you, in your words and on your schedule, and logs it in the file. Follow-up happens without anyone remembering to do it.

Your team, your rules

You decide what each person on your team can see and do. Give a new hire access to their own clients only. Let a senior team member change status and manage client accounts. Keep deleting folders to yourself. Permissions take seconds to set and seconds to change, so bringing someone on or moving them off a client never means handing over everything.

A complete record when it matters

When a client disputes what happened, or an auditor asks, you need the record, not your memory. FileButler keeps an activity log for every folder: every upload, status change, message, reminder and signature, with who did it and when. Finished work moves to the File Archive, and anything deleted by mistake can be restored from the Recycle Bin. The paper trail builds itself while you work.

Security your clients can trust

Your clients are trusting you with their most sensitive documents, and FileButler is built for that trust. Every sign-in requires a verification code. Files are encrypted while they move and while they are stored, and they are kept with an independently audited storage provider across two separate United States data centers. The database is backed up every night, and those backups are tested every month. You get enterprise-grade protection without an IT department.

Your brand, on every device

Your clients see your business, not ours. Your logo, your company name and your own web address carry through the portal, the emails and the signing experience. Clients and staff can work from a desktop browser, the desktop app, an iPhone or an Android phone, and a built-in Help Center answers the common questions before they ever reach your team.

Questions

Questions buyers ask before they start.

Who is FileButler for?

FileButler is built for businesses that handle confidential client files: accountants and bookkeepers, public adjusters, mortgage and title teams, property managers, consultants and advisory practices, insurance support businesses and other service companies. If you exchange documents with clients on a regular basis, FileButler gives you a branded portal to do it in.

Can clients upload documents?

Yes. Clients can upload requested documents from desktop, mobile or browser. Staff can also upload, review and organize documents.

Can I send documents for electronic signature?

Yes. Send agreements, engagement letters, consent forms or any document for electronic signature directly from the portal. Each completed signature generates a Certificate of Completion documenting the signing sequence, timestamps and signer identity.

What are document templates with merge fields?

Save the documents your business sends often, such as engagement letters, questionnaires, contracts and invoices, as templates with editable merge fields. FileButler auto-fills the fields from the client record so you do not have to retype the same information for every client.

How does email into the portal work?

Your organization creates an intake mailbox with its own email provider and connects it in Settings. New mail is copied into the portal every few minutes, and each email with a file number in its subject is filed to that client folder with its attachments. Gmail, Google Workspace, Yahoo, iCloud and AOL use an app password. Microsoft mailboxes (Outlook.com, Hotmail, Live and Microsoft 365) connect with Sign in with Microsoft, so no mailbox password is stored.

How does pricing work?

FileButler is priced per paid license: $45.95 per license per month, and every fourth license is free, or $496.26 per paid license per year, 10 percent less than paying monthly. First-time subscribers try it free for 30 days on either plan, with no credit card required. A license is one person on your team who signs in to your portal. Your clients never need one, and client accounts are unlimited. No contract, and you can cancel anytime. Enterprise pricing for 13 or more licenses: +1 954-408-4253.

Is there a limit on clients or folders?

No. Every plan includes unlimited clients and unlimited client folders. You pay only for your own team’s licenses.

Can we use our own branding?

Yes. FileButler includes a branded subdomain and a white-label portal experience for your business.

Is there a contract?

No contract. Cancel anytime. You are billed $45.95 per paid license per month, or $496.26 per paid license per year, for as long as you keep your portal.

What happens after I subscribe?

FileButler begins setting up your branded portal after checkout. You will receive an email with your portal web address, login details and password setup instructions.

Can my staff use the portal too?

Yes. Staff members can be invited and assigned permission-based access so admins control what each person can see and do.

Can I use FileButler for more than one client?

Yes. Both the monthly and annual plans include unlimited client accounts and projects.

What does "per license" mean?

A license is one person on your team who signs in to your portal; your clients never need one. Each paid license includes 100 GB of secure document storage, shared across your whole account, so 3 paid licenses include 300 GB. Additional storage is $4.95 for each additional 100 GB, or $39.95 for each additional terabyte, per month, whichever is less. Enterprise pricing is available for 13 or more licenses. Call +1 954-408-4253.

Can I cancel during the free trial?

Yes. Cancel any time during your 30-day free trial and you pay nothing. No credit card is needed to start.

What happens if I cancel?

Your subscription stops renewing. FileButler keeps your content for 90 days after your subscription ends. During those 90 days you can export your content or resubscribe to restore full access. After 90 days it is permanently and securely deleted.

Is FileButler HIPAA compliant?

Yes. FileButler is HIPAA compliant. The portal includes two-factor authentication, encrypted storage, role-based access and an activity log, and our cloud storage provider has signed a business associate agreement with FileButler covering the storage of your files.

What file types can clients upload?

Documents: PDF, Word (DOC, DOCX), RTF, plain text, Excel (XLS, XLSX), CSV, PowerPoint (PPT, PPTX) and saved emails. Photos, videos and audio recordings: JPG, PNG, TIFF, iPhone HEIC and camera raw (DNG, CR2, CR3, NEF, ARW) photos, MP4, MOV, M4V, 3GP, WebM, AVI and MKV videos, and M4A, MP3, WAV, AAC, OGG, Opus and FLAC recordings. Large files upload in pieces with a progress bar, and videos and recordings play right in the browser.

▸ Detailed questions & answers about secure client portals
Why use a secure client portal instead of email?

Email scatters sensitive files across inboxes, sends attachments to the wrong person and makes it hard to see what has arrived. A secure client portal gives your clients one branded place to upload documents, sign, message your team and see where their file stands, while every document stays organized in the right client folder.

Who can sign in to my portal?

Only people you invite. Clients receive an invitation by email from your team, and there is no public sign-up form, so nobody can create an account in your portal on their own. Your team sees which invitations are pending, accepted or expired, and can resend or cancel them.

How is sign-in protected?

Every sign-in asks for the password and a verification code sent by email. FileButler asks for the code every time and does not remember devices to skip it, so a password alone never opens the portal. A session signs out on its own after two hours without activity, and each login can be signed in in only one place at a time.

Can I control what each person on my team can see and do?

Yes. Each staff account has its own login and its own permissions, for example viewing all folders, changing a folder's status, adding notes, messaging clients, managing client accounts or deleting folders. Clients never see staff or administrator tools, and permission checks happen on the server, not just on the screen.

Do clients accept our policies before they use the portal?

Yes. The first time anyone signs in, FileButler shows the policies before they can go further. Your clients accept the Privacy Policy and Data Retention Policy, and your staff and Administrator also accept the Terms of Service. Each acceptance is recorded with the exact version, the time and the person's internet address, and when a policy is updated, people see a notice in the software telling them it has been updated.

Is there a record of who did what?

Yes. The Audit Log records sign-ins, document activity, signatures and administrative changes with the person and the time. Entries are permanent; nobody in your organization can change or delete them.

How do clients send me documents?

Clients upload from a computer, tablet or phone straight into their folder, so sensitive files never travel as email attachments. You can also connect your own intake mailbox, and email that carries a file number in the subject is filed to that folder with its attachments.

Can I tell clients exactly which documents are still missing?

Yes. Each folder has a document checklist that shows what has arrived and what is still missing, and you can send a document request or a reminder for the missing items.

Are uploads organized automatically?

Yes. Uploads are filed into the boxes of the folder's checklist, and FileButler recognizes words in a file name to suggest the right box. Your team can move or rename any document, and older versions are kept when a newer file replaces one.

Can clients start a new folder themselves?

Yes. Clients can open a new folder from their portal, so documents are tied to the right file from the first upload instead of arriving by email.

Can my team put finished work in the client's folder?

Yes. Your team uploads completed documents and deliverables directly into the client's folder, and can keep a document private so the client does not see it.

Can clients sign documents in the portal?

Yes. You send a document for electronic signature from the portal, and the client signs it there. Each completed signature produces a certificate of completion with the signer, the method, the time and a fingerprint of the signed document, and the signed copy is filed in the folder.

Can I reuse documents I send often?

Yes. Save engagement letters, agreements, questionnaires and other documents you send often as templates with merge fields. FileButler fills in the client's details for you, and you can preview the document before you send it.

Do conversations stay with the client's file?

Yes. Messages are sent through the portal and kept with the client's folder, so the whole conversation is in one place. Email notifications let clients know when there is something new for them, with a link back to the portal.

Can clients see where their file stands?

Yes. Each folder shows its status, for example submitted, in review, information needed or complete, so clients can check progress without calling or emailing for an update.

Can the portal remind clients for me?

Yes. Client reminders follow up on missing documents, unsigned agreements and other tasks on the schedule you choose, from reusable reminder templates, and each reminder is logged in the folder.

Can I keep notes the client does not see?

Yes. Your team can add internal notes to a folder. Clients never see them.

Who manages billing?

Only the account Owner sees billing and subscription details. Staff and clients never see them.

Can the portal carry my own name and logo?

Yes. Your portal shows your organization's name and logo on the sign-in screen and in the side menu, at your own branded portal address.

Is there a contact directory?

Yes. The Directory keeps the contacts your team works with in one searchable list. Each organization's Directory is private to that organization.

What happens to deleted items?

Deleted clients, folders, documents and other items go to the Recycle Bin, where they can be restored. Completed folders move to the File Archive, and a permanent register keeps a record of finished work.

How do I get help?

The portal includes a searchable Help Center and Portal Questions and Answers, and you can open a support ticket from inside the portal for anything they do not answer.
